Second person verification (2PV) when administering medications

Second person verification (2PV) can be implemented in order to collect a confirmation from a second staff member or from a student when administering a medication. Verification is achieved through collecting the PIN of the second person in the administering modal when the medication is being given to the patient.

 

Second persons who are verifying a medication need to have a PIN saved in their profile.

The PIN will be used to identify them for verification records. PINs can be set in the Security tab of the user’s profile in either the People Management screen for administrators or in the My Account screen of the user’s account.

 

Enabling second person verification (2PV) for medications

The table below shows what is required for each category of medication. Below this table we will explain the procedure for each of the steps.

Step1: Set second person verification (2PV) capability for a medication

The first step is to enable a medication to collect 2PV and to determine who that second person can be.

In System Configuration > Medications you can enable 2PV in the medication profile. This sets the medication so that it “may” require 2PV when it is being assigned to a student.

There are three options for this setting;

  • Require the student to sign off on receiving the medication

  • Require an additional staff member to sign off on the administering of the medication

  • Require either a student or additional staff member to sign off on the administering of the medication.

The setting selected will determine what second person options are available when assigning the medication to a student in step 2.

Step 2: Set second person verification (2PV) as a requirement when assigning the medication to a patient

The second step is only required for Prescription medications that are assigned to students with a nominated dosage and frequency. This step is not required for Over the Counter medications.

When assigning a medication to a patient you need to set the requirement for 2PV when setting the dosage and schedule in the student’s profile.

The options that are set at the medication level (Step 1) will display and you can select No 2PV required or for the second person option you want to apply if 2PV is required.

Step 2 is not required for OTC medications because OTC medications are available for all students who have the permission set to access the medication. The 2FA for an OTC will display for all students who have permission to take the OTC.

How 2PV displays when administering a medication

Once set to require second person verification then the administering medication modal will be adjusted to display the 2PV identity collection using their personal PIN.

  • Highlighted text in the administering modal will alert the staff member admnistering the medication that a second person verification is required, and

  • A Second Person PIN field will be displayed. The first person’s PIN will not be accepted in this field and the field will also identify if it is a staff member or a student PIN that is being used so that it can adhere to the 2PV requirement set.

 

 

How 2PV displays in reports and the daily schedule

In the Daily Dispensary board icons will display beside the allocated medication to identify for staff that a second person is involved in the administering of the medication.

 

Scheduled Medications Table

A red 2 people icon displays to alert staff that a second person will be required for the medication.

Administered Medications Table

A blue people icon displays to alert staff that a second person was involved in the administering of the medication. Hovering over the icon will display the name of the second person involved in the 2PV of the medication.

Medication Reports

In both of the key medication reports you can manage the columns that are displayed and set the reports to display the name of the second person verifier where 2PV has been implemented.
